Booked a job, asked for a price, or got a quote or invoice from a business that uses Amigo? That business decides what happens with your details; Amigo stores and processes them for the business. Contact the business with questions, or to ask for your details to be corrected or deleted. The sections “From a business’s customers” and “Who we share it with” explain what happens to them.
Who this covers
This policy explains how Amigo handles information about business owners who use Amigo (“you”), the people they invite to work in their Amigo (their team), and the customers those businesses add or who use their booking page, website, quote and invoice pages.
What we collect
About you
- Your account: your sign-in email, business name, phone, email and links you add, time zone, trade, settings, and your subscription status from Stripe, our payment processor (we never see full card numbers; we may keep the card brand and last four digits it shows you).
- Your business records: customers, jobs, quotes, invoices, prices, notes and photos you add, the reviews and answers you write for your website, and the activity on all of these.
- Your AI assistant connections: if you connect Muse, ChatGPT or Grok, the connection tokens for it (sign-in tokens are stored hashed), the tasks Amigo hands it, and what it reports back, such as which apps it can use and money figures it read from your books.
- Your team: if you invite people to your Amigo, their name, email and role, what you allow them to do, when they last used Amigo, which jobs they’re on, who made each change on a job, and the times they clock in and out of jobs. Invite links are stored scrambled (hashed) and expire after 7 days.
- Calendar: if you let your AI assistant keep your busy times up to date, it reads your calendar and sends Amigo when you’re busy over the next four weeks: start and end times only, never what the events are or who’s in them. If you add a calendar link instead, Amigo fetches that calendar itself and keeps the same start and end times. Either way the times are only used to block bookings, and turning it off or removing the link deletes them.
- Notifications: if you turn on notifications, your device’s push address and the short notification texts your device fetches from Amigo.
- Basic technical data: sign-in sessions and server logs used to keep Amigo running and secure.
From a business’s customers
- Booking page: name, phone, email, address, ZIP code, notes, and the service and time picked.
- Price requests: the description of the job and up to three photos the customer chooses to send. These photos are kept with the job like any other job photo.
- Quotes and invoices: the name typed to accept a quote, a reason for declining if one is given, and how the customer says they paid (with any note). We also record when a quote or invoice link is first opened by the customer (the time only) and tell the business. Link previews made by messaging apps don’t count.
- Abuse protection: when someone sends the booking or price-request form, we keep a scrambled (hashed) form of their internet address for two days to limit spam. We can’t turn it back into the address.
How we use it
- To run Amigo for you: show your board, build your pages and website, hand your AI assistant the tasks you ask for, and notify you.
- To bill you, provide support, prevent abuse and keep the service secure.
- To improve Amigo, using overall usage patterns, not the content of your customers’ records.
We do not sell personal information, use it for advertising, or use your business records to train AI models.
What appears in public
- Your booking page shows your business name, intro, services, prices you choose to show, open times and contact details.
- Your website, once you publish it, shows what you write, the photos you pick (from photos you upload, from your jobs, which can include photos customers sent, or pictures your AI assistant adds at your request, which Amigo stores a copy of), the reviews and answers you add, your prices, service area, hours and contact details. Only photos you pick are shown, and you can unpublish at any time.
- Quote and invoice pages are reached only through their private links and are marked so search engines don’t list them.
Who we share it with
- Service providers that run Amigo for us: our hosting provider (servers, database, file storage and sign-in emails) and Stripe (payments and subscriptions).
- The AI assistant you connect: Muse (Meta), ChatGPT (OpenAI) or Grok (xAI). It receives the tasks you hand it, which include the customer’s name, contact details, address, the job and amounts, so it can send a message or add a calendar entry for you. When it’s connected to Amigo it can also, on your request, read your customers, jobs, quotes, invoices and money figures, add or change jobs and customers, build and send quotes and invoices, mark invoices paid, and create, pause or delete automations. It acts through the accounts you connected to it, under its provider’s own terms and privacy policy. You can disconnect it at any time in Settings → AI assistant.
- Amigo’s own AI assistant for Help & feedback: when you write to us and no one else is answering, Amigo’s AI assistant (Muse, run by the Amigo team) may write the reply. It sees only that conversation and your business name, never your customers, jobs, quotes, invoices or money. Its replies are labelled “Amigo’s AI assistant”, a person on the Amigo team reads every conversation, and anything about billing, refunds, problems or your data goes to that person.
- Your calendar app: if you subscribe to Amigo’s calendar feed, your calendar provider fetches it. The feed is a private link that lists your booked jobs, including the customer’s name, phone, email and address. You can reset the link at any time. Each team member can also have their own link with only the jobs they’re on; crew links leave out customer emails, and prices unless you allow crew to see them. Removing someone from your team turns their link off.
- Your team: people you invite see what their role allows. Crew see only the jobs they’re on, with the customer’s name, phone and address, and anything else you switch on for them. Office see your whole business except billing and AI assistant settings.
- Weather: to show your local forecast without you typing anything, your browser asks GeoJS for the approximate city of your internet connection. If you tap “Use my location”, your browser shares your device’s location once and BigDataCloud names the city. If you type a ZIP code or city instead, it’s looked up with Zippopotam.us (ZIP codes) or Open-Meteo (city names). Amigo keeps only the city and its rounded coordinates, and sends those coordinates to Open-Meteo for the forecast. Customer names and addresses are never sent.
- Address suggestions: when someone types in an address field (in Amigo or on a booking page), the text typed so far is sent from their browser to Photon (photon.komoot.io, which uses OpenStreetMap data) to suggest matching addresses, together with the business’s approximate area so nearby addresses come first. Nothing else is sent: no names, phone numbers or other details. When you use Route my day, the addresses of that day’s booked jobs are looked up with Photon the same way to plan the route, and kept only in that browser tab until it’s closed or you sign out.
- Fonts: Amigo’s pages load fonts from Google Fonts, so Google receives the visitor’s internet address and browser details when a page loads.
- Your customers see what you choose to show them on your booking page, website, quote and invoice pages, including your business contact details.
- Legal reasons: if required by law, or to protect people’s safety or our rights.
Keeping it separate and secure
Each business’s data is kept separate: no other business can see it. Connections use HTTPS, connection tokens are random and stored only as scrambled fingerprints (hashes), quote, invoice and calendar links are random and hard to guess, photos are stored privately and only shown through short-lived links (website photos only when they’re on your published site), and staff access is limited to running and supporting the service. Push notifications carry no customer details: your device fetches the text from Amigo using a private key that only that device holds.
How long we keep it
We keep your data while your account is open. When you delete your account in Settings → Account, we first cancel your subscription so you’re not charged again, then delete your business records, customers, photos, website, settings and AI assistant connections. We keep a minimal record that the account was deleted (the email and subscription id) and a billing record (email, subscription id and status, without card details) so payments can be reconciled. Stripe keeps its own payment records as the law requires.
Your choices and rights
- You can view, correct, export and delete your data in the app at any time.
- Depending on where you live (for example the EU, UK or California), you may have rights to access, correct, delete or port your information, or to object to some uses. Ask through Help & feedback and we’ll respond within 30 days.
- Customers of a business should contact that business first; we’ll help the business respond.
Cookies
Amigo uses only the cookies and local storage needed to keep you signed in and remember app settings. We don’t use advertising or tracking cookies.
Children
Amigo is for businesses and isn’t meant for anyone under 16.
Changes
If we make significant changes to this policy we’ll tell you in the app or by email before they take effect.
